dashhq.ai Privacy Policy

Last updated: 2026-11-08

dashhq.ai is a service of Sage Solutions ("we", "us"). This policy covers the dashhq.ai website and app, including Comms, the mobile apps and the connector for AI assistants.

Who controls your data

When your employer or organization uses dashhq.ai, it decides how your data is used and we process it on its behalf under our agreement with it. Send requests about that data to your organization's administrator; we help them answer. For our website, sales contacts and individual accounts, we decide how data is used.

What we collect

How we use it

To provide the service: show your open work, suggest replies, draft only what you ask, send only when you confirm, keep a searchable archive, secure accounts, and support you. When you connect a Google mailbox, the app uses Google APIs to read email and calendar events, read and edit the Google Docs and Drive files linked from meeting-notes emails (for meeting notes only; it acts only on files your own actions touch, such as striking through a task you mark done), create and send replies you approve, apply labels, and move mail to Trash. We do not use your data for advertising.

We never sell your data

We never sell customer or user data, and we do not share it for cross-context behavioral advertising. We honor Global Privacy Control signals.

AI processing

To summarize requests and suggest replies, text from your connected services is sent to an AI provider. By default this is Anthropic's Claude API under Sage Solutions' account, processed in the United States, and Anthropic does not use it to train its models. A company that uses the dashboard may instead connect its own AI account: its own Claude account, or its own OpenAI account. In that case the text of that company's users is sent to that provider under that company's account and terms, for inference only, and the company's own administrator has chosen it and confirmed that data sharing and training are turned off for that account (for OpenAI, also agreed to OpenAI's data terms). For OpenAI the processing location is set by the company's OpenAI project, not by us; we do not pin a region. Slack messages are always processed on Sage Solutions' own Claude account, never on a company's own account. We never ask any provider to train on this data. Each company's data, keys and usage are kept separate. Sage Solutions can set a company's usage limits but cannot view a company's AI keys in the dashboard; it can remove a stored key when a company returns to Sage's account or leaves.

Google API data

dashhq.ai's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Data received from Google APIs is not used to develop, improve, or train generalized or non-personalized AI or machine-learning models, and is not used for advertising.

Slack data

We read only the channels and conversations you choose, as you, with your own Slack permission. Slack data is used only to show and answer your own requests. It is never used to train any AI model. We delete it when it is deleted in Slack, and within 14 business days after the Slack connection is removed. A reply is posted to Slack only after you confirm it.

Who can see your data

You. Your organization's administrators can see your dashboard items, read-only, and you are told this when you connect a mailbox. Sage Solutions, as your organization's IT provider, can see them read-only; every such look is logged. Our subprocessors process data only to run the service. We disclose data when the law requires it.

Statistics

We keep aggregated, de-identified workload statistics (counts and response times, with groups smaller than three suppressed). They contain no message content, names, email addresses or subjects. We do not use data obtained through Google APIs or Slack for any product other than your own dashboard.

How long we keep it

By default we keep your data for as long as your organization's account exists, with no fixed end date, so your archive stays searchable. Your organization can ask us to delete data, or to set a shorter period, at any time. When an organization leaves, we delete its data after the contract ends, and deleted data then expires from our backups on their normal schedule. Slack data follows the rules above. Assistant chats are deleted when your session ends. Security audit records and signed agreements are kept as long as needed for security and legal purposes.

Where data is stored

On Google Cloud in the United States, encrypted in transit and at rest. If you are outside the United States, your data is transferred to the United States.

Security

Single sign-on, separation between companies, encrypted secrets, no stored passwords, sending and deleting only after a person's confirmed click, and audit logs.

Your rights

Depending on where you live, you may ask to access, download, correct or delete your data, or to restrict or object to its use, and you may appeal our answer. Write to support@sagesolutions.ai or to your organization's administrator. We verify your identity first and answer within the time the law requires. We will not treat you differently for using your rights. Residents of the EU and UK may also complain to their data protection authority.

Cookies

We use only cookies needed to sign in and keep you secure: a session cookie (up to 7 days), short-lived sign-in step cookies (about 10 minutes), and a cookie that remembers how you last signed in or that you have signed in before (up to 12 months). No analytics, advertising or third-party cookies. Your browser's local storage keeps your place and unsent text on your own device.

Removing access

You can revoke Google access at any time at myaccount.google.com/permissions.

Children

dashhq.ai is not for children under 16, and we do not knowingly collect their data.
